A practical software migration checklist

Plan a low-risk move from an old system without losing data or bookings.

Start by naming a migration owner and a decision-maker. They do not have to do every task, but one person should own the timeline, data checks, and vendor questions.

Inventory what you need to bring across: customers, contacts, appointment history, active jobs, recurring services, balances, notes, documents, photos, staff permissions, price lists, and templates. Clean duplicate records and obsolete tags before importing. Poor data is easier to fix before it reaches the new system.

Ask the new vendor for a sample import and validate it with real records. Check names, phone numbers, addresses, notes, recurring jobs, tax settings, and balances. Never make a live switch based only on a successful upload count.

Train the team on three daily workflows first: creating a booking or job, completing it, and taking payment. Give each role a short written checklist. Build the advanced reports, automations, and integrations only once the basics are reliable.

Run a short parallel period when appropriate, keeping the old system available for reference. Set a final cutover date, communicate it to staff and customers, and retain an export from the former system. After launch, review the first week of bookings, invoices, and payments every day.
