How to evaluate a QuickBooks integration before you buy

Questions to ask before trusting an accounting integration with invoices, payments, and customer data.

An integration label does not explain what actually syncs. Ask whether the connection sends invoices, payments, customers, products, tax, refunds, deposits, expenses, or only summary data. Confirm the direction of each sync and whether edits made in one system overwrite the other.

Test the exceptions. Create an invoice with tax, a discount, a deposit, a partial payment, and a refund. Check what reaches accounting, when it arrives, and how it reconciles with your bank and payment processor. Ask who resolves failed syncs and whether there is an audit trail.

Choose the workflow your accountant can support. A simple, dependable export may be better than a two-way integration that requires weekly repair. Keep ownership of the chart-of-accounts mapping and document the process before launch.
