How to evaluate POS software for a coffee shop
A counter-service POS checklist covering speed, hardware, payments, menus, and reports.
Check the menu workflow next. You need to be able to change prices, add modifiers, create seasonal items, and control who can apply discounts. If food preparation is part of the operation, test how orders reach the bar or kitchen and how completed orders are tracked.
Hardware and payment costs need the same scrutiny as software features. Ask what terminals, printers, cash drawers, routers, and backup connectivity are required. Compare the total payment model for your typical card mix, not only the monthly subscription.
End with reporting. Confirm that the owner can see sales by item, daypart, staff member, and payment type, and that the data reaches accounting in a workable format. A clean close-of-day routine is often more valuable than a long list of optional features.
