What customer data should your CRM store?

Build useful customer records without collecting unnecessary information.

Store information that helps your team deliver the service consistently: contact details, preferred communication channel, service history, active jobs or appointments, notes that are relevant to the work, and consent or policy records when appropriate. Keep the fields short enough that staff will use them.

Create standard fields before allowing free-form notes. Service type, location, lead source, customer status, last visit, and next action are often more useful for reporting than long notes. Restrict sensitive information to the people who need it and set clear rules for updating records.

Review the data quarterly. Merge duplicates, remove obsolete tags, and check whether every field still has a purpose. A clean CRM improves follow-up and reporting; an overbuilt one becomes another task the team avoids.
